Yahoo's Greylist Gets Into Grey Area

Sometimes it's hard to tell what's worse - spam or the spam filtering methods some companies decide to use to stop it. That's certainly what one reader was left wondering after wrestling with what appears to be a very poor implementation of greylist spam filtering by Yahoo and Yahoo's inability to help him fix the problem.


A few weeks ago the reader wrote me:

"We are a public library. Overdue, Item Hold and Item Coming Due notices are sent via an opt-in automated e-mail system to library patrons. To opt in, patrons have to speak to a human, a circulation staff member, and have the necessary information added to their library card record. After running the system since 2003, suddenly Yahoo stopped accepting any and all mail from our mail server in mid May. The server is not an open relay, it is not on any black hole lists, it is not compromised, it is used for staff mail traffic only. Accounts can only be set up by the Administrator --me."

"To say that contacting Yahoo has been difficult is a gross understatement. We reported the problem to the Yahoo abuse account. An automated reply arrived in 12 hours, but there was no further response. One of the reference librarians then dug up a corporate telephone number for Yahoo. We called and were e-mailed a whitelist application. We filled it out and returned it. Two weeks later an e-mail arrived with a request for more information, specifically the full text with all headers (as generated by the Yahoo mail system) to show what the Yahoo mail system thinks is the sender and so forth."

"This would be lovely except for the minor detail that Yahoo rejects all our mail so that I cannot send a message to a Yahoo account in order to extract all the headers. So I explain and substitute (with full explanation of why I am substituting) the full text of a rejected e-mail, one that I sent to my personal Yahoo e-mail account. This is where it gets funny. Three days later Yahoo Customer Disservice replies and points out how the e-mail sample that I sent is a forged e-mail. Yikes!"

"I exchanged several more e-mails with Yahoo Customer Disservice. The most recent claimed that they had made a change to allow our mail server to send to Yahoo mail. Too bad, so sad, mail continues to be summarily rejected by Yahoo. I am fed up and will no longer reply to any Yahoo Customer Disservice mail. They must be so overwhelmed with dealing with crackpots, charlatans, criminals and nut jobs (most of which is their own fault) that they cannot understand a straightforward trouble report and deal with it."

Last week however I heard from the reader again. "I got to thinking that this might be some kind of test, like Yahoo's greylist procedures for incoming mail. Incoming mail is always denied and the sending server has to retry an unspecified number of times over an unspecified time period before the mail is finally accepted. Maybe if I do what they ask, as many times as they ask, maybe they will grant a boon and allow my mail server to send mail to Yahoo."

"Since nothing else was working, I decided to experiment with the Queue Manager on my mail server. By a process of elimination I have arrived at a send/retry cycle that seems to be working. I am up to twelve retries in six hours. I suppose I could read my server logs and figure out exactly how many retries were required before the mail was accepted, but Yahoo likely has some random timing built into the greylist to foil log readers. Now all I get back are the occasional rejects because of dead Yahoo addresses."

Even if this solution holds though, the reader thinks Yahoo's approach is going to cause more trouble for legitimate senders than spammers. "I really don't see how the greylist as Yahoo seems to have implemented it will really deter any serious spammers. It may slow them down, but I doubt enough to make them move elsewhere. Sending spam is done by dumb machinery, so what if it has to retry a dozen, two dozen, a hundred times, it runs 24/7 and can retry forever. The greylist is a poor solution for a problem that Yahoo helped create. Now I know how Don Quixote felt, though I hope I don't get sent to the gallows at the end."

Spam protection is out of control.  The ISP for my domain was so anal about it, I gave up and started using my Gmail account primarily because too much of the email that I wanted just wasn't going through.

I could whitelist individual email addresses, but was told whitlisting whole domains was not possible.  Now granted, this is free hosting, and the owner is a personal friend.  But he's a Mac nut, and obviously doesn't understand the thought of wildcards, which I'm sure are available under whatever system is was.  A spam folder would have been nice, but evidently due to spam levels on other domains, it was just easier to dump it.

He's reset the whole email thing, and things that I had been getting for awhile that had stopped years ago are now working again.  Not surprising since they never got a bounce message.

I finally gave up my Yahoo account between the Spam and losing good emails, I became very frustrated, so I did lots of research for another email service, have been using mail.enterto.com have not received 1 Spam in 3 months.

No idea how Yahoo's doing - I changed my password and promptly forgot it, so I just dropped the account - but my ISP, DSLExtreme, has within the past few months instituted a new stricter spam-blocking that is just broken. Any and all mailing list emails I get are going direct to spam, even after whitelisting, and so are most normal user emails, even in the "light" mode. When I emailed them with a request that they look at it, with a list of domains that are being summarily blocked, I got back a request that I call them to give more information. Do they expect me to read off the headers on the phone? So I just switched to IMAP and started checking the spam folder more.

In the realm of goofs, another local ISP, Softcom, recently swapped out its useless homegrown antispam for a Barracuda (my personal favorite engine), and they send weekly messages with a list of recieved spam and links to manage your account - but they send it friday night, and by monday morning, the links have expired, with no way to actually manage the account or retrieve messages marked as spam. Hopefully they'll resolve this soon (I did email them).

And of course everyone knows how useless Hotmail's idea of spam blocking with non-functional whitelisting is already.

The problem with Yahoo is that it's such a prime target for spammers. On any given day a Yahoo mail box fills up with spam. Given that, how is a library going to get the message through anyway? You either risk being rejected, or you risk not being noticed among the junk. Having the user search for library messages is a non-starter. How many people think "I wonder if I have any library messages today?" The best solution is to warn users that they won't be notified if they have an e-mail account with one of the following providers: Yahoo, etc. At least then they might give Yahoo a hard time. Next best is to explore trusted e-mail options like certificates. A certificate is data encoded with your private key that your public key can decode. Since only you can encode it, it had to come from you. Otherwise forget it. It was a nice idea, but it doesn't work in the Wild West of the Internet. Note that the effort required to beat the problem so far cost as much as several hundred snail mails.

I've seen plenty of stupid anti-spam tricks, including one ISP blocking everything from another on the ground that a lot of spam came from the second ISP's servers. Never mind that the blocked ISP was one of the not-so baby Bells which meant a large portion of the total e-mail in the US went through their servers at some point. One of my biggest gripes with e-mail is that most people think it's absolutely reliable, and if something doesn't go through the local system is at fault, when in reality its like tossing a note in a bottle into the ocean. I've seen cases where a server tried to forward something for eleven days before giving up and sending back an "undeliverable" notice. I saw one where two servers with the same ISP apparently refused to talk to each other, but does anyone ever publish an article on the potholes in the "Information Highway" that an e-mail can dissappear into?

...and make your mail server retry like it's supposed to.  You have to be running a rinki-dink MTA or purposefully configure one of the well known MTAs NOT to retry in order to break your mail server like that.  It's YOUR fault, not Yahoo's.

Greylisting is probably THE most powerful (and largely fool proof) anti-spam measures in wide deployment.  It kills off about 90% of spam in one quick transaction, costing the victim almost nothing and multiplying costs for spammers.  It DOES work against most of the spammers PRECISELY because it requires retries.  Retries multiply spammers' costs of doing business; how many times would we have to multiply YOUR costs of doing business before you couldn't (do business)?  Exactly, not many times at all.  It's the same for spammers.

Greylisting just works, and the absolute worst failure mode (unless the system is totally broken) should be a requirement that your mail server retry after a certain number of minutes.  Mail servers shouldn't time out mail in queues for many hours AT LEAST; so, as long as Yahoo doesn't use ridiculous delays (e.g., over 30 minutes), any reasonable mail server configuration should be fine.  Many of Yahoo's services are whacked, but this isn't one.

There's no gripe here, Brian, just a griper.

I manage mail servers for a large corporation. We block 90-95% of everything that hits the firewall. It is sad that ISP's care so much about blocking incoming email yet care very little about stemming the tide at the source: their very own infected customers. How hard would it be for an ISP to deny all SMTP traffic OUT of their network except from their own servers? Sure, there are people running legitimate servers but they should be savvy enough to request an exemption or they shouldn't be running a server in the first place. We only allow our legitimate mail servers to exit the firewall via SMTP. This has saved us numerous events when an (ab)user brought an infected computer from home and proceeded to set off alarms in our network.

Absolutely agree that the ISPs could easily block outbound SMTP traffic. Also, if more people would do reverse DNS lookups they could eliminate a great deal of spam as well. A very high percentage of the spam I block will SAY it comes from Yahoo, AOL, etc, but the IP address is not on any of their networks. How hard is it to reverse DNS the domain name and if the sending IP is NOT one of the MX records for the domain, block it? And NOT send NDRs. For every Spam email my system sees and blocks, there are a DOZEN NDR's coming back to my domain because some spammer is using my domain as the sender domain. An simple look at the mail header of the original message shows it did NOT come from my domain. We will never get Joe Average User to stop clicking on the bogus emails and web sites that get them infected with spambots, so some action need to be taken at a higher level. And when we DO track down the spammers and bot seeders - they need to be aggressively prosecuted.

I have a friend who works at an ISP and one of their customers was sending out SPAM through their SMTP server.  The Spammers and bot seeders are writing their software to use the ISP's SMTP server to relay ther garbage instead of delivering it directly.

Well, there have been quite a few gripes about that here, where people can't afford business connections, or try to get one and still have SMTP blocked. And it's somewhat telling that even though Comcast took this step years ago, the majority of the US-originated spam still comes from their network. (I'm not quite sure how they managed that.) If the larger ISPs cared about customer service, and it was implemented well, it would probably work.

Why does the main article use the text "Yahoo's greylist procedures" to link to http://help.yahoo.com/l/us/yahoo/mail/original/abuse/abuse-60.html -- this URL does not exist. The hostname help.yahoo.com resolves to an IP address (217.12.4.245) that isn't currently in use at all, i.e. there is no computer at that IP address; traffic sent there receives no replies at all.

That's an issue with your DNS servers; maybe the entry had timed out at the time you tried it. It worked fine for me when this was originally published, and just now.

If you'd care to actually read the post you're replying to, it says that he had no problem resolving the name to an IP address -- so your diagnosis of a DNS problem doesn't wash.

The IP address didn't work, which tends to mean there's no computer at the other end, it's turned off, or it has a stealth firewall. Web servers don't usually have a stealth firewall and regardless they are supposed to be turned on 24/7 and respond on port 80, whereas that IP address apparently did not.

Something strange was/is going on but it wasn't with the OP's DNS.

Grey listing blocks a lot of spam.  Any properly configured SMTP server will retry transmissions.  Spammers typically send from infected PCs and never retry.  Forward-reverse DNS consistency checks, RBLs, and SpamAssassin are also useful tools for reducing incoming spam, and port-25 blocking is essential for reducing outgoing spam.

Yahoo's mail service is terrible but the griper is the villain of this particular story.

I had to shake my head when my ISP, normally VERY good at blocking spam, rejected a tech newsletter I was forwarding from my home e-mail to my work e-mail because it "looked like spam". Even after I stripped out all of the adds and changed the subject and some other lines that soundeed "spammish" to me, it continued to reject it. I finally had to copy and paste just the portion I really needed into a fresh email for forwarding. Oddly, it didn't keep the "spam" newletter from getting in my inbox in the first place!

I find yahoo email to be quite dependable. I get nearly everything that is sent to me. I get about 100 spams a day, and all but 2-5 are safely stuck in my bulk email box. That is 100 a day that is not just plain deleted before I see it, it used to be over 200 a day so I assume they are not even delivering quite a bit of it to my bulk box. I get about one valid email a day stuck into my bulk email box, so I have to check it daily.

I am much more frustrated with the sbcglobal.net email I use to send out resumes. I have no clue if they are getting through to the prospective employer. Email is like sending a resume into a dark tunnel, and you never know if it will get out again. Since most employers never respond if you are not selected, I have no way to know if my resume got through or not. Since it can take an hour to craft a really good cover letter, even for an imperfect job, this is way extra frustrating. Not that it is sbcglobal.net (att's) problem or responsibility, it is just a major frustration with no known workaround.

Of the three biggie free email vendors, I find that Gmail has superlative spam filtering, Hotmail is pretty good, and Yahoo is abysmal. Of the three, my yahoo email address has never been made public, yet it gets the most spam, much of which is not redirected into the bulk mail folder. Because of this, I have continued to avoid Yahoo for email. I have also used a number of hosting resellers for various domains, and Yahoo is the most problematic when it comes to sending legitimate email and having it filed into the recipient's bulk folder. Interestingly, I have SBC (now AT&T) /Yahoo DSL and the sbcglobal.net mailboxes (hosted on Yahoo) do a much better filtering job.

Funny - but I don't have any real problem with yahoo or gmail spam filters & MY public library gets through 98% of the time. I do have to check my spam boxs once or twice a week and throw out 5 - 10 new garbage mails a day but I get 10 times the trash in my bulk bin than I get in real mail. My corporate accounts are far more trouble but the reason for that is that I handle the mail & webmaster at accounts etc. Using the Zimbra server even they are real good. In addition we have SpamAssassin installed.

Spam made email annoying.
Anti-Spam has completely destroyed it.

It is now impossible to know whether an email will get to a recipient or not - for important messages, it's thus impossible to use email anymore.

I wish someone would have the balls to sue some of these anti-spam idiots.

It is illegal for *anything* to read email you send besides the person to whom you sent it - this alone should be enough to win a lawsuit against dumbarse ISP's who think it's "OK" to experiment with erasing their customer emails for fun.

I've had the anti-spam filters (the ones I have no control over) at Verizon and Earthlink reject American Express electronic bills (causing me to miss a payment), account statement notifications from the bank, and other legitimate e-mails. And Verizon even junked e-mail from it's own invoice notice system! Bottom line, after the third lost important e-mail, I dropped on-line invoicing and returned to paper notices. I hated to do it, but so far the USPS hasn't dropped more than one bill a year. Not so of e-mail.

It's almost comical to read this. Yahoo sure isn't any good at handling spam... That's one of the biggest reasons why I stopped using it fairly quick.

I've read about other companies that has problems with this issue as well, but I have to say that Yahoo seems to be the worst among them all.
