Insidious Restrictions Management

The day is coming soon when you'll open an e-mail from a colleague and discover you don't have the right to print it, forward it or copy it. And maybe you won't even have the right to read it.

In October Microsoft is scheduled to release the client and server components of its Rights Management technology, including Information Rights Management (IRM) "awareness" built into Office 2003 applications . While Microsoft has been talking about its RM strategy for almost a year, many people remain unaware of it. And that's a problem, because your rights are definitely at stake.


What IRM does essentially is to allow the user to embed usage restrictions within a document or e-mail. The content creator can designate who gets to access the file and what they can do with it, and the restrictions persist even when the file moves beyond the firewall.

I should make it clear that we're not likely to see tons of IRM-protected Word and Excel files circulating the day after Office 2003 ships. IRM is initially targeted at internal corporate use, and a full-fledged implementation of the technology requires both Rights Management client and server software as well as Windows Server 2003. It also requires a dizzying array of CALs (Client Access Licenses), particularly if you want to share IRM-protected files outside of your organization. For instance, even if your organization and your friend's organization are fully licensed for Rights Management internally, you still need an "external connector" license to exchange IRM-protected files.

Sure, IRM has some nice-sounding security features, but there are already plenty of mature solutions for controlling document security within a corporate entity. The real appeal of Microsoft's IRM concept lies in the potential for it to become a widely adopted standard. In other words, it really only gets interesting if and when you can send IRM-protected e-mail and attachments beyond the firewall with some hope they can be read by those you designate. In that regard, Microsoft has said it will provide a "free" (Ed's Rule: There is no such thing as free software from Microsoft) IRM viewer to allow those without Office 2003 to read files to which they've been granted access rights.

How interested will corporate customers be in IRM? With our ever-increasing security consciousness, there's bound to be some real interest in confidentiality-sensitive businesses and professions. Just think of all the people who already regularly append boilerplate language to their e-mail informing you of the usage restrictions they would like you to observe. How tempted are those folks going to be by the ability to actually enforce those restrictions?

Of course, IRM is going to be a lot less palatable when you're on the receiving end. If the sender doesn't trust you to handle their message properly, why are they sending it at all? As it is, spam and viruses are already making many question the viability of e-mail, and a flood of unreadable Microsoft-encrypted messages might be the last straw. There's also the fact that with every download of Microsoft software, you are almost certainly "agreeing" to yet more changes in their license agreements that give away more information about you and what you do on-line.

And then there's the implications for Open Source and other non-Microsoft platforms should IRM become widely adopted. Microsoft officials have said their Rights Management technology is intended to be platform-independent, and there's no question they would like to license it for use in a variety of products besides Windows PCs. But given the licensing fees they want to charge corporate customers to license all the components, we aren't likely to see many IRM-enabled Linux applications in the near, semi-near, and far-near future.

If we forget for the moment that it's Microsoft doing this, I suspect a lot of folks could find things to like in IRM. But it is Microsoft that's doing it, and we know one thing that means: Rights Managment is going to have some serious flaws. After all, the series of security problems that have received so much attention lately are by no means an aberration when it comes to Microsoft software.

But beyond the fact it's from Microsoft, the real problem is that IRM is just DRM (Digital Rights - or Restrictions - Management) with a slightly different name. That it's DRM partially in the control of users won't make it any easier to tolerate the limitations, complexity, bugs, misapplications and outright disasters IRM will inevitably cause. Like DRM, IRM will just make it a little harder to deal with the digital world we live in.

Ed, I don't see this ever really happening. If someone sends you an email with the intent of not letting you print it, for example, how difficult would it be to use a screen grabbing program to make a picture of it (or a digital camera). While it might slow down rapid forwarding of messages, I don't think that it could stop them entirely. How would people react if they saw a screen print or picture that showed an email message. Would they treat it as less "real" or would they want to accept it as something that they wanted to see but weren't allowed to. Unless there were laws associated with criminalizing the distribution of "protected" email, I don't see how it could be enforced.

The screen capture came to mind as a flaw that will keep it from being as useful as they might imagine (I keep getting reminded of that Paul Newman movie, The Verdict). Another aspect that might get Microsoft is all of us using Macs and Linux and nonMicrosoft mail programs. Let's say that this Gripe column were sent to my Mac, protected, and I couldn't read it. I'd just send a note back saying thanks, but you're using an unreadable format. And after you get a few thousand of these, you'll look for a different mail package.

I'm surprised that Ed did not mention the possibility that Microsoft wants to get their IRM software in use so that they can prevent the Justice Department from finding and reading incriminating email from Gates, Ballmer, etc. If only MS were using it it would look fishy, but with a portion of businesses in the US using IRM MS can be just one of many. Next time someone in MS outlines how to prevent Java from working on Windows computers or whatever only the designated receiver will be able to read it and even if DOJ finds it later it would be too much trouble to decrypt it and might be a violation of the rights of the sender. Now who can tell if there is really anything in there that deserves to be protected without first breaking into the document? No one! So DOJ might have to violate copyright laws to get the evidence they need to prove that MS still has not complied with court orders.

Courts can and do issue orders all the time to allow law enforcement to do things that we normally associate with illegal behavior (e.g. the DEA bashing in your front door and waving guns around in your house). If a judge says they can do it (i.e. break the encryption and read your "confidential" emails) they can legally do it.

Adobe Acrobat is the current preferred document transmitting utility offering control over what the user may do with the contents. However, it is never forbidden to send the protected document to anyone else. Adobe allows the author to control printing, highlighting, comments, and copying. Not all of this works well however. There are also differences between the different versions of the "Free" Acrobat Reader, and what they can do. Adobe also wants their Reader to be used for electronic books that must have some of these restrictions and features. I think Microsoft is responding to Adobe, in addition to thier hidden agenda.

If you're in a Microsoft OS, just click your PrtScn button (Or do ALT PrtScn) and then go into your favorite paint program, or Office product.  Click on Edit/Paste and voila.

Now there are ways to prevent this from working.  If they utilize video card functions such as overlays (not all video cards support this, most do - it's what most PC TV tuner cards use) then the print screen, or screen capture program as previously mentioned will capture just a black screen.  

I imagine this will be some function that Macrovision will develop for use with this software.

Of course, the sad part would be that it would become a violation of the DCMA to tell someone how to use the PrtScn button if this new technology came to be.

It seems likely to me that IRM is also aimed at sinking the open-source and third-party suites which offer compatibility with Word and other MS products. If IRM can control document access at the user level, it can certainly control access at the application level -- and that lets Microsoft use the DMCA and whatever twisted offspring it spawns to prevent anyone from ever again offering a package that can read Word/Excel/whatever files. Talk about guaranteeing lock-in... the only way you could switch away from a Microsoft IRM product in this scenario would be if you wanted to either lose all your archives, or were willing to cut-n-paste all your documents to other apps, one at a time.

This discussion sounds just like discussions about copy protected software 20 years ago or more, DVDs, copy protected CDs, encrypted ebooks, and so on. Yes, there will be workarounds. But if you purchase a product YOU SHOULDN'T HAVE TO WORK AROUND THE PROBLEMS! YOU SHOULD BE ABLE TO USE IT IN A REASONABLE FASHION! Workarounds are always a hassle, usually makes it harder to use a product than it should (sometimes it becomes unusable), and you can expect lawyers showing up at your door if you tell others how to get around copy protection idiocies. And this sounds a LOT like the ebook mess. Book publishers generally don't understand computers. They didn't understand that computer users aren't going to pay a premium for an encrypted file in a proprietary format that could only be run on one or two computers for a couple years - Reformat or change the machines and you're out of luck. At one point, many downloaded ebooks could only be run on the machine it was INITIALLY downloaded to - so folks downloading on their PC to send to their PDA were out of luck. I would only buy an Ebook if it was unencrypted in a non-proprietary format that I can expect to keep through t many computer replacements. I have no doubt people will use the DRM features in Word and make similar mistakes on documents they create. Every time you think it can't get worse, these media companies come up with some new angle. I just hope that people get sick enough with this nonsense to force these companies to change or go bankrupt.

...that adjusts the IRM permissions on these documents to irrevocably lock everyone out. Imagine the consequences to businesses who have all their vital documents sealed for all time, even from people authorized to use them.

Document security sounds great, until you remember who it is that wants to provide it, and their security track record.

This will also become yet another anticompetitive feature. Macs are starting to get noticed as enterprise-worthy, so you can be damned sure that any IRM implementation for them will be late and lousy, if one is even made at all.

So, in theory, a spammer could add DRM to his spam, or a worm could dynamically encode DRM into each outgoing e-mail.

Our Anti-spam gateway would be unable to read the e-mail to know that it is spam or a virus, and it goes to the user unchecked.

If we are talking a good product, DRM would not be able to save the unencoded file to the hard drive, so our real time antivirus software would not catch it either.

Job security.

We still don't even have reliable email text formatting across the whole world (like line length). How would DRM ever become worldwide for email? Maybe internal MS-Server email, but not Internet email.

    For this to work there has to be a connection by the IRM software to the source of the message or a trusted third party system ( otherwise I can set my local time and read an old message again ). So we have yet another protocol to be compromise possibly rendering all IRM messages unreadable until it's back on line. I can't wait till the next MS lawsuit and they say "Nope, it's all gone" at that point they should revoke the corporate charter and make all the software assets open source. Woo hoo it's the end of MS !

    There seem to be a near consensus on some points. 1. Ms will screw up with IRM. 2. It may cause more problem than it solve. 3. The DMCA will be invoqued eventually about IRM. If anybody think there is a positive side, please let me know! What I see behind all this, is a "need" to hide inside information from inside users and outsiders. For the outsiders, I understand there are some corporate secrets. Very often, it is to avoid leaks to outsiders. When this happen, ask yourself if you could sell it to those you want to protect it from. When you sell it, it not only make money for you, but you stop spending to protect it. For the insiders, you first have to decide wether you want to hide it or just to avoid advertising it. If you really need to hide it, use cryptography. If you don't want everybody to know it, don't send it all over the place and use computer level security (password to open it, screen saver pasword, etc). It may look simplistic but I found early that companies where there are a lot of "secrets" between the various level of management are rarely those where I liked working. If you hide so much from the guy under you, ask yourself what your boss hide from you. While it may seem simplistic, it is often the way security is managed in university research group. I believe there is very little data that really need to be kept secret.

    There's one detail that many seem to have missed: Palladium (aka Trustworthy Computing, Next-Generation Secure Computing Base for Windows) - part of Microsoft's ideal solution is the Palladium chip - a hardware component that is integrated into your computer that cannot be removed.
